A 300 person all-hands in Napa, sourced and booked in under a month

Anthropic needed to get their whole team together near San Francisco, with real breakout space, full privacy, and a hard per person budget. They came to us with the dates and a headcount that was still moving. We came back with the venue, the buyout, and a signed contract before the count even settled.
A moving target, on a deadline
Anthropic wanted to bring their full team together within about two hours of San Francisco, with a single large general session room plus roughly twenty breakout rooms for ten to fifteen people each. They needed real privacy, a budget that held at fifteen hundred dollars per person all in, and March dates that were already close. The headcount was still settling between two hundred fifty and three hundred when they reached out. We started sourcing the same week.
Napa, bought out
We pointed the search at full-buyout properties in Napa and Sonoma, ran availability against the group size, and landed on The Meritage Resort and Spa: a vineyard resort with the meeting footprint to host a three hundred person general session and the breakout space to match. We structured it as a property buyout so the team had the place to themselves, then negotiated room blocks, meeting space, food and beverage and audiovisual into one all-in number that respected the per person cap.
The work, off their plate
Sourcing, quotes, contract review and the back and forth with the resort sat with us. Anthropic approved options instead of chasing hotels. From the first planning call to a signed contract took under four weeks, even as the final guest count kept moving, so their operations team could lock the budget and focus on the agenda rather than the logistics.
A clean Napa offsite
Three hundred people met in the vineyards for four days at the end of March, with the resort to themselves, full breakout space, and dietary and activity needs handled on site. The resort and our team ran a post-event review of the wins together, the kind of close out that comes from an event that landed.
