
A 200 person all-staff retreat near New York, run end to end and brought in six figures under budget

Crisis Text Line is a nonprofit, so every dollar of their all-staff retreat had to work. They came to us with a 200 person event, a hard budget, and a small internal team that could not run hotel contracts and on-site logistics on their own. We sourced The Abbey Inn near New York, negotiated the contract, staffed the event on the ground, and landed the whole thing at roughly $506,000 against a $575,000 budget.
A nonprofit budget, no room for waste
Crisis Text Line needed to bring 200 people together for an all-staff retreat, and as a nonprofit they had a firm budget and a CFO watching every line. Their team did not have an in-house event planner who could source a venue, run a hotel contract, and manage the on-site experience for that many people.
Sourced, contracted and negotiated
We worked the market against their requirements, landed on The Abbey Inn near New York, and ran the full contract for them. We managed the room block, the food and beverage, the AV and the resort fees as one negotiated package so the budget held from quote to final invoice.
On the ground for the whole event
TeamOut put a full planning team on site to run shuttles, registration, signage, programming and vendor coordination. That let their internal lead focus on their people and their agenda instead of chasing logistics across four days.
Under budget, and a team that asked for more
The retreat came in around $506,000 against a $575,000 budget and scored an 88 NPS from attendees. The team granted permission to use it as a reference event, and we are now sourcing their next all-staff retreat.
