Team offsites for OpenAI, handled end to end, from 13 person trips to a 190 person retreat

When a company scales as fast as OpenAI, every team wants to get together and almost none of them have an event planner. OpenAI came to us with that gap across Engineering, Research, Legal, Finance and more. We came back with a single partner that sources, negotiates and runs each offsite, more than fifteen of them in a year.
One partner, every team
Engineering, Research, Security, Legal, Finance and more each run their own offsite. Rather than start from scratch every time, they work through a single TeamOut relationship with trip designers ready the moment a team raises its hand, from a 13 person executive trip to a 190 person retreat.
Wine country and the Bay, sourced and negotiated
We sourced and negotiated premium Bay Area venues including Claremont Club and Spa in Berkeley, Chaminade in Santa Cruz, Fairmont Sonoma, MacArthur Place and Silverado. Each option is vetted for the group, confirmed on availability, and the contract worked before it reaches a calendar invite. On Bay Area properties we have averaged roughly an 18 to 34 percent discount off rack.
The work, off their plates
Sourcing, contracts, banquet orders, AV, dietary management, shuttles and budget all sit with us. OpenAI's operations team spends its time approving great options instead of chasing quotes and rebuilding spreadsheets the week before everyone flies in.
Built to repeat
Because any team can launch its next offsite the moment it needs one, one retreat quietly turned into more than fifteen a year across the company.
It took a lot of work off of my plate, so generally speaking, I'm really happy.
